Track renewals, documents and scans

Life admin holds the dates that come round rarely and matter a lot: “Passports, insurance, renewals and birthdays, remembered for you well ahead of time.”

Types and their lead times

Each type comes with a sensible head start. Leave the reminder field empty to use it, or type your own (0 to 365 days).

Insurance and birthdays repeat Every year by default; turn it on for anything else that does. A yearly item “Moves on to next year once the date has passed.”

A passport that takes eight weeks to renew in your country? Set its reminder to 120 days, not 90.

What you store, and what you don’t

• Last four characters of the number: only these four are kept, never the full number.
• Password manager link: a link to the entry in Bitwarden or Vaultwarden. Thendoo never stores passwords.
• Scans and photos: images or PDF, up to 10 MB each and 20 per item, stored encrypted.

Where renewals show up

Life admin items do not appear on the Today timeline. They reach you in four places:

1. A reminder in the bell at 09:00 your time, the set number of days before. Like all Thendoo reminders, it pops up only while a Thendoo tab is open.
2. Life admin → Coming up, grouped by month. Items in their reminder window carry Renew soon; one-off items whose date has gone by show Date passed.
3. The calendar, when the Birthdays and renewals layer is on.
4. The Dashboard, if you add the Renewals soon widget.

Tip

If a renewal costs money every year, such as car insurance, also add it as a bill in Money. Bills due within 7 days do show on Today. Life admin keeps the document; Money keeps the payment.

Birthdays have their own Birthdays list on the same page. You can add one there or on a person in People.
