Meeting prep and follow-up around one meeting
Two small tasks around any important meeting. Prepare the day before, then send notes and actions the day after, so meetings lead somewhere.
What’s inside
Meeting prep and follow-up· 2 items
Prepare for the meeting
1 days before the meeting day
- The one outcome you want
- Questions to ask
- Numbers or files to bring
- Meeting link or location checked
Send notes and actions
1 days after the meeting day
- Short summary of what was decided
- Each action with a name and a date
- Your own actions added as tasks
Why only two tasks
Most meetings don’t need a project, they need a little thought on either side. This template keeps it to two tasks. The day before, you decide what you want out of the meeting. The day after, you turn what was said into actions before the details fade. Two tasks are easy to apply for every meeting that matters, which is the point.
Why the day before and the day after
Preparing on the day squeezes it in between other calls, and the meeting often starts before you get to it. The day before gives you room. Following up the next day, rather than straight away, lets you add the actions you only thought of later, while it’s still fresh enough to be specific.
How to adapt it
- Recurring one-to-ones? Apply it each week, or set the two tasks to repeat with Every week on….
- Big client presentation? Move prep to two or three days before and add a rehearsal item.
- Connected Google Calendar? The meeting shows on your timeline next to the prep block, so you can see the gap between them.
- Recording the conversation, with everyone’s agreement? The Meetings page can draft a summary and suggested tasks for the follow-up, if your Thendoo server has speech and AI services set up. Nothing becomes a task until you confirm it, so check the draft before you rely on it.
An honest tip
If you only manage one of the two tasks, make it the follow-up. A meeting nobody followed up is a meeting that happens again. You can also set an automation rule, “a calendar event ends” with Remind me, to nudge you while Thendoo is open in a browser tab.
